SUMMARY:

As an Operations Specialist, you function at an HQ level while supporting onsite teams and local department heads at Corporate. This position will have a heavy focus on maintaining the community’s operations, accounting, and financial sectors, including but not limited to leasing and marketing.  The Operations Specialist will have responsibilities for reporting monthly and quarterly metrics to the COO.  They must have critical thinking skills and the ability to evaluate and summarize findings.

RESPONSIBILITIES (Including but not limited to):

  • Data Analysis: Gathering and analyzing data related to operations, such as production rates, inventory levels, and resource utilization, to identify areas for improvement.
  • Process Improvement: Working with different departments to identify inefficiencies in workflows and implementing changes to streamline processes.
  • Performance Monitoring: Developing metrics and key performance indicators (KPIs) to monitor the effectiveness of operations and making adjustments as needed.
  • Resource Allocation: Assessing resource allocation across different functions to ensure optimal utilization of manpower, equipment, and materials.
  • Risk Management: Identifying potential risks to operations and developing strategies to mitigate them.
  • Reporting and Communication: Presenting findings and recommendations to management through reports and presentations, and collaborating with stakeholders to implement changes.
  • Technology Utilization: Leveraging technology solutions such as data analytics software, process automation tools, and enterprise resource planning (ERP) systems to improve operations.

Overall, your role is critical in driving continuous improvement and ensuring that the organization operates efficiently and effectively.

  • Analyze and produce monthly financial statements, including operating variances from budget, cash management, and strategies for collecting receivables.
  • Maintain complete and accurate community files and records, including finalized audits to ensure lease data has been input correctly into management software.
  • Ability to analyze a monthly financial statement and prepare detailed budgets and operating forecasts.
  • Demonstrate a positive, professional, and client-oriented attitude about the company with team members, residents, and clients. Produce professional business writings, assessments, memos, and projects based on assignment findings
  • Strive for improvements in community performance to meet or exceed annual financial and operational goals.
  • Contribute to department platform developments and company-wide rollouts and provide feedback from the onsite teams to these changes
  • Analyze and communicate with operation teams and managers about the assigned community’s features, productivity, and needed support areas.
  • Must be willing to travel up to 50% of the time weekly and at times over the weekend

PREFERRED QUALIFICATIONS:

  • Four (4) years of experience in property management in multiple housing markets
  • Demonstrated Leadership Skills, Excellent time management and organization skills.
  • Must have a strong background in operations, financials, budgets, residential law, leasing, and marketing.
  • Advanced knowledge of property management software, including but not limited to RealPage, Microsoft Office, and Excel.
  • Ability to understand and carry out industry-specific written and oral directions with a positive, innovative approach to problem-solving.
  • Presents ideas in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinion to reach the goals/objectives of the organization.
  • Independently perform as a project leader and team member.
  • Ability to work in an efficient manner with a high level of accuracy, attention to detail, and follow-through.
  • Neat, professional appearance.

REPORTS TO: Managing Director of Multi-Family Operations 
SALARY:  $75,000-$90,000 per year
